Microsoft Authenticator App
Microsoft Authenticator is used to protect your work account with Multi-Factor Authentication (MFA).
You will need your mobile phone and access to your work account on a computer.
1. Install Microsoft Authenticator
iPhone / iPad
Open the Apple App Store.
Search for Microsoft Authenticator.
Make sure the app is published by Microsoft Corporation.
Tap Get and install the app.
Open Microsoft Authenticator.
Android
Open the Google Play Store.
Search for Microsoft Authenticator.
Make sure the app is published by Microsoft Corporation.
Tap Install.
Open Microsoft Authenticator.
Keep Microsoft Authenticator up to date to ensure it continues to work correctly.
2. Sign in to Your Work Account
On your computer, sign in to your Microsoft 365 work account using the username and temporary password provided to you.
If Microsoft asks you to secure your account or set up additional security information, follow the instructions shown on screen.
Select:
Add sign-in method → Microsoft Authenticator → Add
Then select Next until a QR code appears on your computer screen.
3. Add Your Work Account to Microsoft Authenticator
On your mobile phone:
Open Microsoft Authenticator.
Tap the + icon or Add account.
Select Work or school account.
Select Scan a QR Code.
Allow Microsoft Authenticator to use your phone camera if requested.
Scan the QR code displayed on your computer.
Do not scan a QR code sent to you by email, chat or another person unless you have confirmed it is part of your own account setup.
4. Complete the Verification
After scanning the QR code:
Return to your computer.
Select Next.
Microsoft may send a test notification to your phone.
Open Microsoft Authenticator.
Approve the sign-in request.
You may be asked to enter or confirm a number displayed on your computer.
Complete the prompts until Microsoft confirms that Microsoft Authenticator has been successfully registered.
5. Future Sign-ins
When signing in to your Microsoft 365 work account, you may receive an authentication request on your phone.
Only approve the request when you are actively signing in.
If you receive an unexpected Microsoft Authenticator notification:
Do not approve it.
Select Deny if available.
Contact your manager or TECHNOTIC IT Support if you are unsure.
Important Security Rules
Never share your Microsoft password with anyone.
Never share MFA verification codes.
Never approve an authentication request you did not initiate.
Keep your phone protected with a PIN, password, fingerprint or Face ID.
Do not remove Microsoft Authenticator from your phone while you are using your company account.
